Questions about EasySign

Short answers on how EasySign works and where electronic signatures stand in New Zealand and Australia.

The legal answers here are general information, not legal advice. If a document matters, check with your lawyer.

Is an electronic signature legally binding in New Zealand?

For most business documents, an electronic signature meets the legal requirements for a signature. Under section 226 of the Contract and Commercial Law Act 2017, it does if it adequately identifies the signer, shows they approved the document, and is as reliable as the purpose calls for. Some documents are excluded, such as wills, affidavits and some powers of attorney. See /legal. This is general information, not legal advice.

Does it work for Australian clients?

Yes. EasySign is built for New Zealand and Australian businesses. In Australia, the Electronic Transactions Act 1999 (Cth) and each state and territory’s own Act set similar tests: a method that identifies the person and shows their intention, is reliable enough, and that the other party consents to. Some documents are exempt. See /legal. This is general information, not legal advice.

Which documents should not be signed electronically?

In New Zealand the law excludes, among others, wills and codicils, affidavits and statutory declarations, some powers of attorney, negotiable instruments and bills of lading. Australia has its own exclusions. If a document has to be sworn, witnessed in a particular way or registered, check the rules for it first. The legal basis page has the detail (/legal).

Does my client need an account to sign?

No. They get a link by email and follow the Next button through each thing they need to do: fill in their details, choose Yes or No where there is an option, initial each page and sign last. It works on a phone, tablet or computer.

Can I use my own PDF?

Yes. Upload the PDF you already use, then place the fields on it and mark each one as yours to fill before sending or the signer’s to fill. Your pages stay exactly as they are; EasySign adds the answers, initials and signatures on top, then a signature page and a certificate of completion at the end.

What does everyone get when it is signed?

Everyone gets the completed PDF: the original pages unchanged, a signature page, and a certificate of completion listing each signer’s name, email, IP address and signing time, with the full event history. The copy is also filed against the contact, so you can find it again.

How can someone tell a signed document has not been changed?

Every completed document carries a digital seal (PAdES) with an outside timestamp, and any change to the file breaks it. Anyone can check a copy at sign.easysign.nz/verify: it says whether it is the exact file EasySign sealed. The seal certificate is EasySign’s own, so Adobe Acrobat shows whether the file has changed but lists the signer’s identity as unknown. See /security.

Where is the data kept?

Signing records are hosted in Sydney, Australia, and documents are stored on Cloudflare R2 with its Oceania location hint (Cloudflare treats location hints as best effort), with a tamper-evident audit trail for each signing request. The completed copy is filed against the contact it was sent to. See /security for how it is put together.

Can I put my own signature on documents automatically?

Yes. A sender can save their signature once and have it applied to the documents they send, with their consent recorded. That is how Importify’s director signs his side of each agreement. Signers always sign their own part themselves.

What happens if the client does not sign?

EasySign sends reminders automatically, so you are not chasing by hand. Signing links expire after a set time, so an old link cannot be used months later.

Can signing links use my own domain?

Yes. Standard signing links come from sign.easysign.nz. If you want clients to see your own address, such as sign.yourcompany.co.nz, EasySign can run on a custom signing domain. Importify’s agreements are signed on sign.importify.co.nz. See /custom-domains.

Does EasySign work with Leadgun?

Yes. EasySign works on its own or inside Leadgun, Webgun’s CRM, as an opt-in Agreements tab, so you can send an agreement from a contact’s record and the signed copy is filed back against it. See /leadgun.

How much does EasySign cost?

Pricing has not been set yet. If you would like to use EasySign now, or see it with one of your own documents, get in touch and we will talk it through (/contact).
